We are excited to be recruiting a part-time remote Treatment Care Coordinator to join our team. The role will be for 4 days per week working, Monday, Tuesday, Thursday and Friday to support enquires and leads for treatments across multiple practices.
Overview
We are seeking a confident, knowledgeable, and patient-focused remote Treatment Care Coordinator to support multiple dental practices. This role is ideal for someone with strong communication skills and a solid understanding of a wide range of dental treatments. You will be the first point of contact for patient enquiries received through social media channels and practice websites, helping guide patients through treatment options and next steps.
Key Responsibilities
Patient Enquiries & Conversion
Respond promptly and professionally to new patient enquiries via Telephone, social media messaging platforms, website contact forms, and other digital channels.
Provide clear, confident explanations of available dental treatments (e.g., orthodontics, implants, cosmetic dentistry, general dentistry, etc.).
Assist patients with understanding treatment pathways and support them in booking consultations with practice.
Build rapport to enhance patient experience and increase enquiry-to-booking conversion rates.
Treatment Knowledge & Communication
·Maintain up-to-date knowledge of dental treatment options across the practices.
Confidently discuss treatment benefits, approximate timelines, and general processes (non-clinical).
Identify patient needs and guide them to the appropriate clinician or service.
Practice Liaison & Administration
Liaise with individual practice teams regarding new patient leads, referrals, and clinical follow-up requirements.
Ensure accurate transfer of information between patients and dental teams.
Update and maintain a daily/monthly spreadsheet tracking lead volume, conversion rates, referral outcomes, and overall performance.
Provide monthly reporting to management on KPIs and enquiry trends.
Customer Service
Deliver an exceptional, friendly, and professional patient experience at all times.
Manage expectations sensitively and appropriately.
Follow up with patients who haven’t yet booked, where appropriate.
Skills & Experience Required
Previous experience in a dental, healthcare, or treatment coordination role (preferred)
Strong understanding of a variety of dental treatments.
Excellent written and verbal communication skills.
Confident communicator who can discuss treatment options clearly.
Ability to multitask, prioritise, and manage multiple practice enquiries simultaneously.
Strong organisational skills with good attention to detail.
Comfortable using spreadsheets, CRM systems, and messaging platforms.
Self‑motivated and able to work independently in a remote environment.
